Description :
General Position Summary:
Maintain a high level of customer service in contributing to the smooth and efficient operation of the Mountain Hardwear offices. Primary job duties include greeting and directing guests, visitors and callers; Provide support for company Managers / Supervisors with meetings, travel, reports and special projects; Maintain & update assigned company files and data bases; involvement in various company events.


Essential Functions/Major Responsibilities:
Front desk / receptionist duties during either opening or closing of business. Also relieves receptionist during breaks, lunches and/or as requested by supervisor.
Reception duties include: operate telephone switchboard and route calls to the appropriate person, department or voicemail. May provide routine information to callers. Page employees or visitors as necessary. Greet and direct visitors to appropriate person and/or Friends & Family Store. Maintain visitor sign-in sheet and hand out visitor badges. Perform incidental clerical duties as directed by supervisor
Maintain conference room schedules; includes scheduling and posting
Arrange catering for in-house meetings as requested. Responsible for picking up lunches for meetings too small to meet catering delivery requirements. Keep catering and events expenses within budget.
Coordinate company mailers; special events, holidays, sample sale, etc. Includes creating and maintaining various mailing lists for future reference.
Maintain, update and distribute company phone list
Organize monthly birthday recognition event
Coordinate quarterly BBQs & other regularly scheduled events
Facilitate the update of company SharePoint site(s) information, event photos, etc.
Assist various managers in creating/updating spreadsheets, Word documents, PowerPoint presentations as requested

Secondary Functions:
Assist managers / supervisors with travel arrangements and expense reports
Maintain positive and open lines of communication with all Mountain Hardwear management, staff and other departments in order to contribute to the smooth flow of information and efficient operation of the company.
Other duties or projects as assigned.

Job Complexity:
Job involves re-occurring work situations with regular variations from the norm, requiring the incumbent to be flexible, resourceful and innovative. Job involves a minimum degree of complexity. Will operate from established practices and procedures. Work is performed under a moderate level of supervision and is checked or verified generally on a project or assignment basis. Incumbent prioritizes work flow with the goal of contributing to the accurate and timely information flow and completion of projects. Errors in judgment can cause deadlines to be missed.

Supervisory Responsibility:
This job is not supervisory in nature.

Interpersonal Contacts:
Contacts are made both internally and externally. Contacts concern matters requiring explanation, discussion, interpretation or approvals. Interaction takes place person-to-person, via email and via phone among all levels of the company. Contacts are made using own initiative and must positively reflect on the company.
Requirements:
Possess strong customer service and organizational skills with ability to prioritize and successfully execute multiple tasks/projects. Possess excellent computer skills with thorough knowledge of spreadsheet, word-processing and presentation applications as well as aptitude to learn simple tasks in other programs (Outlook, SharePoint). Well developed ability to read, write and speak English. Requires strong attention to detail, good verbal and written communications skills and independent motivation to complete tasks accurately and efficiently. Physical capability to use telephone, computer hardware/software that includes keyboard, type accurately and use fax and copy machines. Ability to lift and carry up to 25 lbs.

Education and/or Experience:
Associate degree or equivalent, one or more years experience providing general office support or event coordination.

Job Conditions:
Flexibility to work outside normal hours to meet deadlines is sometimes required. Job may require hours that sometime exceed 8 hours per day and/or 40 hours per week during peak periods. Some pressure may exist from deadline requirements and managing multiple tasks/projects. Job requires some local travel to pick up lunches or catering supplies. Exposure to a computer CRT.
